Lucky for you, we just had a team meeting that hit on all three of these, and I’m about to break down what we learned.

1. The Power of Clear Systems: Set It and Forget It (Well, Almost)

We all know that feeling—you roll out a new system, and at first, everyone is totally on board. But then, a few weeks later…crickets. Half the team is doing it, the other half forgot it was even a thing, and now you’re back to square one.

Sound familiar?

That’s exactly why consistency and follow-up are key. In our recent meeting, we talked about how the hygiene team was rolling out a new protocol for new patient exams, complete with microscope slides, saliva testing, and oral cancer screenings. The issue? Only half the hygienists were doing it.

So how did they fix it? They made it a non-negotiable Hygiene Protocol. Hands-on training, documented steps, and clear expectations. And here’s the real kicker—they didn’t just assume it would stick. They put a system in place for ongoing accountability. Now, patient notes are getting audited, and the team knows exactly what’s expected. No excuses.

Lesson: If a system isn’t working, don’t scrap it—reinforce it. Train your team, make it crystal clear, give them the why and follow up.


2. Tracking Success: Why Your Numbers Matter More Than You Think

Let’s talk numbers. I know, I know—tracking production and collections might not sound fun, but if you’re not doing it, you’re basically flying blind.

At this meeting, we broke down financial benchmarks and noticed something interesting. The practice was collecting 92% of what they were producing—which is good, but not quite hitting that ideal 98% collection rate. After a deep dive, we realized part of the issue was goal-setting. The practice had been setting goals based on gross production instead of net, which can lead to some serious miscalculations (and potentially overpaying on bonuses).

The fix? Adjusting goal-setting to reflect net production instead of gross—because a goal that’s based on reality is way more useful than one based on wishful thinking.

Lesson: If you want to grow, you need to know where you’re starting from. Track your numbers, make sure your goals are based on the right metrics, and don’t be afraid to adjust as needed.

3. The Right Seat on the Bus: Training, Growth, and Knowing When to Pivot

Ah, team training—the never-ending puzzle.

We had a big discussion about a new admin team member who, while amazing with patients, struggled with learning new systems and making decisions quickly. At first, she was placed as a treatment coordinator, but it quickly became clear that wasn’t her strong suit. Instead of forcing her to “just figure it out,” the team pivoted, moving her into a patient coordinator role where she could shine.

But they didn’t stop there. Since she learns better hands-on, they adjusted her training approach, pairing her with an experienced team member to work side by side instead of just throwing information at her.

And this is huge—because not everyone learns the same way. If a team member is struggling, it doesn’t always mean they’re in the wrong job. It might just mean they need a different approach to learning.

Lesson: Pay attention to your team’s strengths. If someone is struggling, ask yourself—do they need better training, or are they just in the wrong role?
